Summer Camp Parent Agreement
This Summer Camp Parent Agreement (the “Agreement”) is between BESMARTKIDS LTD (“BESMARTKIDS”), a company incorporated under the laws of the Republic of Cyprus under registration number HE455383, which is organising the children's camp with a research-based educational programme (the “Camp”), and the parent or legal guardian identified in this form.

Camp location: Green Valley Mountain Hut, Onoufriou Kliridi 29, Kakopetria 2800.

A. Obligations of BESMARTKIDS
  1. At all times during Camp activities, BESMARTKIDS shall provide no fewer than one adult supervisor for every five participants to provide oversight during the entire Camp.
  2. BESMARTKIDS shall provide a Camp Coordinator responsible for oversight of all Camp activities and the safety and location of participants under the Coordinator's control.
  3. BESMARTKIDS shall maintain Camp safety, conduct activities with due care and engage qualified specialists and instructors.
  4. BESMARTKIDS shall comply with applicable norms, regulations and sanitary rules when conducting the Camp.
  5. BESMARTKIDS shall promptly notify the parent or legal guardian if the child becomes ill.
  6. BESMARTKIDS shall promptly notify the parent or legal guardian if the child violates disciplinary or safety rules.
  7. BESMARTKIDS shall accommodate the child at the Camp location in shared rooms for up to six participants and provide three meals per day.
  8. BESMARTKIDS shall conduct appropriate background screening of employees, instructors, coaches and others who instruct, accompany or supervise Camp activities involving minors.
  9. BESMARTKIDS shall implement a research-based educational programme containing theoretical and practical activities during the Camp.
B. Rights of BESMARTKIDS
  1. BESMARTKIDS may remove a child from Camp classes or activities in cases of poor health, repeated violation of disciplinary or safety rules, infringement of the interests of other participants, or other reasonable grounds determined by the Camp administration.
  2. BESMARTKIDS may make changes to the Camp programme when reasonably required for participant safety or operational needs.
  3. BESMARTKIDS may reschedule or cancel the Camp in the event of unavoidable threats to participants or other reasonable circumstances.
  4. BESMARTKIDS may provide first aid in an emergency involving the child.
  5. Subject to the parent or guardian's separate media-consent choice in this form, BESMARTKIDS may record a participant's voice or image through individual or group photographs, videos or other recordings taken during Camp events.
C. Obligations of the Parent or Legal Guardian
  1. To support the child's full participation in the research-based educational programme, including theoretical and practical activities, subject to the child's health and safety.
  2. To explain to the child the need to follow the instructions and recommendations of Camp instructors.
  3. To provide personal items and equipment according to the checklist supplied by BESMARTKIDS before the Camp.
  4. To fully disclose chronic or other medical conditions, injuries, allergies, medication, disabilities and other information relevant to the child's safe participation.
  5. To collect the child from the Camp when requested by the Camp administration in circumstances covered by this Agreement.
D. Rights of the Parent or Legal Guardian
  1. To collect the child from the Camp at any time, subject to reasonable identification and collection procedures.
  2. To communicate wishes or concerns to the Camp administration regarding Camp operations and the child's welfare.
E. Representations, Declarations and Consents of the Parent or Legal Guardian
  1. The parent or legal guardian confirms that all health and medical information supplied about the child is complete and accurate and that any relevant restrictions have been disclosed.
  2. The parent or legal guardian confirms that, to the best of their knowledge, the child has not knowingly been in recent contact with individuals suffering from infectious diseases and will not attend while unwell or subject to applicable public-health restrictions.
  3. The parent or legal guardian consents to the provision of first aid and appropriate emergency assistance when reasonably necessary.
  4. Photo, video and other media use is governed by the separate media-permission choice recorded in this form.
  5. The parent or legal guardian consents to the processing of their personal data and the child's personal data by BESMARTKIDS for Camp organisation and safety, including collection, use, storage and necessary transfer to relevant providers such as transport companies, accommodation providers, medical services, rescue services and similar organisations.
  6. The parent or legal guardian agrees to compensate BESMARTKIDS for material damage intentionally or negligently caused by the child, subject to applicable law and an appropriate assessment of the circumstances.
  7. The parent or legal guardian consents to the child's participation in the BeSmart Camp.
F. Miscellaneous
  1. Camp participation fees are payable according to an invoice issued by BESMARTKIDS after the booking is confirmed.
  2. If the parent or guardian cancels the reservation, an administration fee equal to 30% of the paid deposit will be retained.
  3. This Agreement is governed by and construed in accordance with the laws of the Republic of Cyprus.
  4. This Agreement, together with the information and consents submitted in this form, constitutes the agreement between the parties concerning the child's Camp participation.
  5. BESMARTKIDS may terminate this Agreement if accident, illness, epidemic, act of God or another event beyond the reasonable control of either party makes performance impossible. If the Camp is terminated for such a reason, the parties shall be relieved of further responsibilities to the extent permitted by applicable law.
Photo and video permission
May BeSmart use photographs or recordings of your child from camp activities in its website, social media, brochures and other lawful promotional materials? This permission is optional and does not affect participation.
Waiver of Liability for Injuries
I, the parent or legal guardian submitting this form, understand and acknowledge that participation in outdoor, physical and recreational activities at the Camp organised by BESMARTKIDS involves inherent risks of injury. These may include falls, animal or insect bites, exposure to weather and terrain, hiking risks, sports injuries and other risks associated with camping and group activities.

I voluntarily accept the ordinary and inherent risks associated with my child's participation in Camp activities, to the fullest extent permitted by law.

To the fullest extent permitted by applicable law, I release and discharge BESMARTKIDS, its officers, staff, instructors, volunteers, agents and affiliates from claims arising from inherent risks or circumstances outside their reasonable control. Nothing in this waiver is intended to exclude or limit liability that cannot lawfully be excluded or limited, including liability arising from fraud, wilful misconduct or any other liability protected by applicable law.

This waiver is intended to be binding on me and, to the extent permitted by law, on my child and our respective heirs, legal representatives and assigns.

  • Any necessary prescribed medication, clearly labelled and accompanied by written administration instructions
Important operational rules
  1. Participants must not bring flammable products, weapons, sharp or cutting objects, or other dangerous items. Any necessary flammable personal product must be handed to the Camp administration for safe storage.
  2. Mobile phones will normally be stored by the Camp administration and made available during the scheduled period after dinner.
  3. Parents or guardians may be financially responsible for damage caused by their child, subject to applicable law and the circumstances of the incident.
  4. Hiking and mountain activities require strict adherence to safety rules. Participants must follow reasonable instructions from Camp instructors.
  5. A child should immediately contact the Camp administration if they have a question, problem or difficulty. An instructor may help the child contact their parent or guardian.
  6. The programme includes substantial time outdoors. Clothing and equipment must be appropriate for the weather, terrain and season.
  7. Parents must inform the Camp in advance if the child feels unwell or has restrictions affecting physical activity. Children may decline an activity and should immediately tell an instructor if they feel unwell.
  8. Expensive items such as jewellery, gaming consoles and other valuables should not be brought unless necessary. BESMARTKIDS cannot guarantee the security of unnecessary valuables.
  9. The Camp provides an opportunity for children to call their parents or legal guardians each day after dinner.
  10. Parents and children are expected to understand the residential, outdoor and group nature of the Camp and to cooperate with the daily schedule and reasonable conduct requirements.
